Dictation
Special considerations for transcribing dictated content.
Dictation
#
No Speaker Column
Where a file says it's a dictation – whether letter or other document – you don't create a speaker column as it is not required.
#
Document Formatting
Please present the document as described by the speaker. So if they ask you to "Write a letter to..." then begin a letter document "Dear...", do not type "Please write a letter to".
#
Punctuation in Dictation
- Sometimes people will dictate punctuation, sometimes not
- They will usually indicate when to start a new paragraph and/or sentence, but often no more than this
- If they don't tell you to put a comma at any point, please use common sense to add these in where appropriate
#
Examples
Speaker says: "Write a letter to Mr Johnson. Dear Mr Johnson comma new paragraph."
You type:
Dear Mr Johnson,
[new paragraph content follows]

Key Principles
- Follow the speaker's formatting instructions
- Use common sense for punctuation when not specified
- Create the actual document they're describing, not a description of it
- No speaker identification needed for dictation
